SynTrack RFI - Privacy Policy

This Privacy Policy applies to the mobile application SynTrack RFI by Synergiz (the "App"), published on mobile app stores by SYNERGIZ GLOBAL SERVICES PRIVATE LIMITED. The App, developed and maintained by SYNERGIZ GLOBAL SERVICES PRIVATE LIMITED, is designed to facilitate inspection workflows for railway infrastructure and construction projects.
1. Information We Collect
- User Information: Name, role, and organization details (as provided during sign-in / account usage).
- Authentication Data: We may collect login credentials and/or session information needed to authenticate users.
- Location Data: Captured during inspections to record the inspection location.
- Images & Documents: Photos, reports, and supporting files uploaded during inspections.
- Device Information: Basic device/log information may be processed, including crash reports.
- Selfie / Verification Data: Images or verification data may be collected to support identity/verification workflows (as applicable to the App flow).
2. Purpose of Data Collection
- Enable inspection workflows
- Verify identity and/or user sessions
- Maintain audit records for inspection activities
- Support application reliability (including crash reporting)
- Ensure compliance with applicable requirements
3. Data Sharing
- Shared with authorized stakeholders as needed for inspection workflow and project coordination.
- Not sold to third parties.
- Shared if required by law or to comply with legal obligations.
4. Data Security
We use commercially reasonable technical and organizational measures, including secure transmission (HTTPS/TLS where available). Access to certain functionality is restricted by role-based permissions.
5. Data Storage & Retention
User data is stored on authorized servers and/or user device where applicable, and retained according to project needs or legal/operational requirements.

Depending on your location, you may have rights such as:

- Request correction
- Request deletion
7. Offline Data Handling
When the device is offline, certain information (such as progress, drafts, and selected inspection inputs) may be stored locally on the device. Once connectivity is restored, data may be synced to the servers.
8. Data Deletion
Users can request deletion of their personal data by contacting us via email. Upon receiving a valid request:
- User identity may be verified
- Data may be deleted within a reasonable timeframe (up to 7 working days), subject to legal/project retention obligations
- Confirmation may be provided after deletion
- Some data may be retained if required for legal or project compliance purposes
9. File Access Permission
The app may request access to device storage to allow users to upload inspection-related images and documents.
- Only user-selected files are accessed
- No unrelated files are intentionally accessed or scanned
10. Third-Party Services
The App may use trusted third-party services to provide core functionality and reliability, including:
- Firebase Crashlytics (crash reporting / error diagnostics)
These services access data only as necessary to perform their functions and are obligated to protect user data.
11. Permissions Used
- Camera: Used to capture inspection images.
- Location: Used to record inspection location.
- Media (Photos/Files): Used to upload inspection-related images and documents.
- Microphone (if enabled for recording): Used if the inspection flow records videos requiring audio.
